Getting your school ready for rollover? Here's everything you need to do in Edusync before and after the new academic year begins.
1. Set your archiving and re-provisioning dates ✅
Where: Settings → Google Classrooms or Microsoft Groups section
Before the academic year ends, set your archiving and re-provisioning dates in Edusync. This is important because MIS Class IDs can change during rollover - without these dates in place, the matches Edusync maintains between your MIS and Google Workspace and Microsoft Entra ID could be lost entirely.
Setting these dates ensures:
- Existing Classrooms and Teams are archived cleanly at year end
- New Classrooms and Teams are provisioned and ready for the new year
2. Check your Users, Groups, and Classes matches ✅
Where: Settings → Users, Groups, and Classes
Review your matches in Settings both before and after academic year rollover. This step is what connects your MIS data to the right people and groups in your cloud environment.
Doing this ensures:
- The archiving process runs correctly
- Membership changes are reflected across Google Classroom, Microsoft Teams, and any other active Edusync modules
3. Review your Rules after rollover ✅
Where: Settings → Rules section (check this after rollover)
Once the new academic year starts, head to the Rules section and make sure everything still looks accurate. If a group that a rule was attached to no longer exists post-rollover, that rule will lose its association and won't function correctly.
Go through each rule and confirm it's linked to a valid group from the new academic year. Any that aren't will need updating.
4. Make sure automated sync is turned on ✅
Where: Directory → automated sync button
This one's easy to miss - but critical. If automated sync isn't active during rollover, no changes from your MIS will be actioned. Head to the Directory page and confirm the toggle is on before the rollover period begins.
